Business systems & AI

Business systems & private AI

What is a business operating system?

Custom software that brings your company’s daily operations (customers, jobs or projects, team, documents, approvals and reporting) into one secure system designed around how you work. Depending on scope, it can connect to the tools you keep, replace the ones you don’t need, and include AI assistance and automation.

How is it different from a CRM?

A CRM is built around customer relationships and sales, and many can be customized extensively. A business operating system is designed from your operations outward: jobs, crews, sites, documents, approvals and reporting, as well as customers. Sometimes the right answer is a well-configured CRM, or a system built on top of one, and we’ll tell you when that is the case.

Do we need to replace our current software?

Not necessarily. During the audit we sort each tool into keep, connect or replace. Accounting and industry-specific software often stays and is connected. We only recommend retiring a tool when the new system fully covers what it does.

Can we have our own private AI?

Yes, in several forms: an assistant using an approved hosted AI provider, a dedicated deployment reserved for your company, a model running in a cloud account you control, or on-premises where feasible. Each has different costs and privacy properties. We explain them in plain English and document where your data goes before you choose.

Data & security

Data, security & ownership

Where is our information stored?

It depends on the hosting you choose: a managed cloud service, dedicated hosting, an account your company owns, or your own servers where feasible. Before any build starts, your proposal lists where each kind of data is stored and processed, and which third-party providers are involved.

Who owns our software and data?

Your data is yours, and you can export it. Ownership of the custom code, configuration and documentation we create is set out in writing in your agreement before work begins, and it can be assigned to your company. Third-party software, cloud services and AI models remain under their providers’ licenses.

How is our information protected?

Security is designed in from the first plan: individual sign-ins with multi-factor authentication, role-based permissions, encryption, activity logs, backups and monitoring, with the exact controls agreed in writing for your project. Our Security page explains what is in place today and what we design by scope.

Support

Training, support & growth

Does WIT provide ongoing maintenance?

Yes. After launch we monitor closely, fix issues, apply updates and keep improving the system: new reports, workflows, users and locations as you grow. The level of ongoing support is agreed in your proposal.

Can the system grow with our company?

Yes. Systems are built in modules, so new locations, departments, users, workflows and reports can be added over time. We plan for the growth you expect during design.

How do employees learn to use it?

Training is part of every implementation: short sessions for each role, written guides, and support during the first weeks of real use. New hires can be trained later as part of ongoing support.

Services & fit

Services & fit

Will this work for my business?

Yes. Every solution is designed around your business model and industry. Whether you run a clinic, a roofing company, an auto shop, or an online store, we tailor the automation and AI setup to your workflow rather than forcing you into a template.

How are you different from DIY tools?

DIY tools give you a widget. We build a full AI infrastructure that connects across your business, automates real workflows, and scales with you. Instead of duct-taping features, you get a done-for-you system your team can rely on.

Do you work with businesses outside Ohio?

Yes. We're based in Columbus and Dayton, Ohio, but we serve clients nationwide. Audit calls, builds, and support are all remote-first, so location isn't a limitation.

Scope & pricing

Scope & pricing

How much does it cost?

Every project is bespoke, so pricing depends on scope. After a free Business Operations Audit, we build a fixed proposal around your goals, integrations, and budget. No hidden fees, no surprise invoices.

How much does an AI receptionist cost?

Most AI receptionist deployments run between a small setup fee and a monthly subscription, priced far below a full-time employee. Exact pricing depends on call volume, integrations (CRM, calendar, dispatch), and the number of workflows the agent handles.

What if I don't see results?

We set clear success metrics before we start building. If your solution isn't hitting them, we keep working with you until it does. Your success is our success and it's written into how we scope every engagement.

Timelines & process

Timelines & process

How long does it take to launch?

Most clients go live within 4 to 8 weeks from the audit call. Simple AI receptionists can go live in as little as 1 to 2 weeks; full AI infrastructure builds with automations and custom apps take longer.

What's the process and timeline?

Our process is: 1) Free Business Operations Audit, 2) Written plan and proposal, 3) Build and test, 4) Launch and support. You'll always know the next step and who owns it, and most clients start seeing results within 4 to 8 weeks.

Will this disrupt my current operations?

No. We deploy in phases and test alongside your existing systems before anything goes live. Your team keeps working while we quietly stabilize the new workflows, then we switch over once they are proven.
